Connect ClickUp: send a client with one status change

If your team tracks clients in ClickUp, you don't have to retype them. Connect your workspace once; from then on, moving a task to a status like Send to HiveMarket brings that client (and their authorization) into HiveMarket, and HiveMarket writes updates back onto the task.

What you need in ClickUp

  • One list where each task is one client. The task name is the client's name ("Chaim Friedman" or "Friedman, Chaim").
  • Custom fields for what HiveMarket should know: CIN, phone, address (a Location field or plain text), date of birth, which grocery, and for the authorization — program, weekly amount, start date, end date, food type. Any you don't have are simply left blank.
  • The trigger: either three task statuses (*Send to HiveMarket*, *In HiveMarket*, *Needs a fix*) or a dropdown field with those three options. HiveMarket sets it back to *In HiveMarket* or *Needs a fix* when it's done.
  • Fields for what comes back (optional): for example a URL field "HiveMarket", a date field "Last delivery", a money field "Total billed", a dropdown "HM order status".

Exact words HiveMarket understands

  • Program dropdown options must match your program names exactly, e.g. *Food prescription box*, *Medically tailored meals*, *Cooking supplies*, *Weekly meal plan*.
  • Food type: *Grocery* or *Ready-made*.
  • Which grocery: the store's name as it appears in HiveMarket (a short form like "Parkville" works when only one store matches).
  • Dietary needs (labels or text): kosher, halal, gluten-free, dairy-free, nut allergy, diabetic, low sodium, vegetarian. Other words are kept in the client's notes.
  • Phone: a full 10-digit US number. One phone is enough.
  • Dates: ClickUp date fields, or text like 9/1/2026.

Connecting (about 10 minutes)

  1. In ClickUp, create a user called "HiveMarket" (so the connection isn't tied to one person), sign in as that user, open the avatar → Settings → Apps → API Token → Generate.
  2. In HiveMarket, go to Settings → ClickUp and paste the token.
  3. Pick the list, then choose how you send a task: a status change, or a dropdown field. Pick the three states.
  4. Check the field mapping — HiveMarket guesses from your field names. Map the values you want written back, too.
  5. Click Turn on. That's it — nothing else to set up in ClickUp. (If you'd rather use a ClickUp Automation, the page shows the webhook URL to paste into a "Call webhook" action.)

Using it every day

  • Fill in the task, then set it to *Send to HiveMarket*. Within a few seconds it changes to *In HiveMarket* with a comment: "Added to HiveMarket … Open in HiveMarket: …".
  • If something is missing, it changes to *Needs a fix* with the reason ("the start date is missing"). Fix it and set it to *Send to HiveMarket* again.
  • To renew an authorization, update the amount or dates on the task and send it again — HiveMarket updates the existing authorization, it never creates a second one.
  • Two tasks for the same person? HiveMarket matches by CIN. A task with the same name but no CIN is never merged automatically — it asks you to add the CIN first.

What HiveMarket writes back

Whatever you mapped: the client's HiveMarket link, status, current authorization, last order and delivery, orders in the last 4 weeks, total billed, the last invoice, and weeks with no delivery. Updates land within a few minutes of anything changing. Diets, dates of birth, and medical details are never written to ClickUp.

Prefer a ClickUp Automation?

The settings page also shows a webhook URL. Add an Automation on the list — *when status changes to "Send to HiveMarket" → Call webhook* — and paste the URL. It works exactly the same way.
